In VertiGIS FM Greenspaces, you can manually create individual investigations for trees that employees in the field must complete. VertiGIS FM does not programmatically generate investigations for trees based on the tree's properties.

Investigations are similar to inspections but do not recur at legally mandated intervals. Investigations are manually created to investigate a possible issue with a tree. For example, you may create an investigation to determine whether fungus is present on a tree and then create a separate order to remove the fungus.

Investigations can only occur on trees whose status is Active.

Create an Investigation for a Tree

You can manually create an investigation for a tree on the tree's details page.

To Create an Investigation for a Tree

1.Navigate to the details page for the tree for which you want to create an investigation.

2.Expand the Investigations section and click the Add Investigation (icon-add) icon.

3.Click the > button in the Investigation menu and select a template for the investigation. Selectable options are saved in the Investigation catalog.

4.Enter additional investigation details in the appropriate data fields in the form. Refer to Inspection Details for more information.

5.Click Save or Save and Close.

The new investigation appears in the Investigations section on the tree's details page.

Investigation

The Investigation catalog entry associated with the order. The selected entry describes what the employee must investigate and can include attached work sheets.

Person responsible

The employee or contact to whom the investigation is assigned.

Selectable options are saved in the Contact Management module.

Responsible

The employee or contact to whom the investigation is assigned.

Selectable options are saved in the Contact Management module.

Planned Date

The date the investigation is scheduled to take place.

Intended Completion

The date and time by which the investigation should be completed.

Planned Time [h]

The estimated time in hours the investigation will take to complete.

Cost Center

The cost center associated with the investigation.

Maintenance contract

Whether a maintenance contract exists for the tree.

Maintenance contractor

The company that carries out the investigation according to the contract. Selectable options are stored in the Contact Management module.

Estimated Costs

The estimated costs to complete the investigation.

Supply source

 

Number

An identifying number for the investigation. This value can be system-generated using a Number Ranges configuration.

State

The current status of the investigation (Planned or Finished).

Refer to Investigation Statuses.

Priority

The priority level of the investigation. Selectable options are stored in the Priority catalog.

Completed

A check box that, if selected, indicates the investigation is complete. 

Selecting this check box programmatically updates the investigation's State property to Finished.

Follow-up

An information field to indicate that the completion of the investigation requires some level of follow-up action. This check box is not associated with the follow-up order functionality in VertiGIS FM Maintenance.

Not Carried Out

A check box that can be selected if the investigation is being closed without being properly completed. Refer to Not Carried Out.

Start of Execution

The date the investigation was started. This field is only visible if the Completed check box is selected. 

End of Execution

The date the investigation was completed. VertiGIS FM programmatically fills this field with the date the Completed check box is selected.

Executed By

The person who completed the investigation. You must select a contact or company stored in the Contact Management module. This field is only visible if the Completed check box is selected.

Protocol

Selectable options are saved in the Protocol menu.

State

The status of the tree (Active, Inactive, or Cut). The State value in the tree's core properties will update to the value you select in this field when you save the order as completed.

Reason for order

The reason the investigation occurred.

Complete an Investigation for a Tree

Investigations created for a specific tree are listed in the Investigations section on the tree's details page. By default, the icon in the leftmost column indicates the investigation's status, which is determined by its Planned Date in relation to the current date.

Inspection or Order Statuses

Status

Description

Planned

No work associated with the inspection, investigation, or order has begun.

In progress

Work associated with the inspection, investigation, or order is underway. 

This status cannot be assigned to orders and investigations associated with trees.

Finished

The order, investigation, or inspection is complete.

The search page only shows these orders, investigations, or inspections if you select the Include History check box in the Filter menu.

The icon symbol that accompanies the order in search pages and on details pages is based on its deadlines and not necessarily its status.

The present time is between the lead time and the intended time, or the present time is between the intended time and the follow-up time.

The inspection, investigation or order was closed, but the work associated with the inspection or order was not completed. 

When an investigation for a tree is completed by an employee, you can mark it as complete on the tree's details page.

To Complete an Investigation for a Tree

1.Navigate to the details page for the tree associated with the investigation you want to mark as complete.

2.Expand the Investigations section.

3.Select the investigation you want to complete and click the Edit (icon-edit) icon.

4.Do either of the following:

From the State drop-down menu, select Finished.

Select the Completed check box.

5.Review the investigation form and add or edit any details as required. Refer to Investigation Details for field descriptions.

6.Expand the Assessment section and add any relevant information in the corresponding fields. Refer to Assessment for field descriptions.

7.Click Save and Close.

Search Page

You can also complete investigations from the Tree Management search page by clicking Investigation under Objects, double-clicking the investigation you want to complete, and clicking the Edit (icon-edit) icon.

Initiating Investigation from Search Page

The process to complete the investigation is then identical to the one outlined above.

Assessment

When you complete an investigation, you can enter relevant details in the appropriate fields in the Assessment section.

Entry date

The date the inspection is completed.

Stage of development

The tree's stage of development. Selectable options are saved in the Stage of Development catalog

Vitality

A description of the tree's vital status. Selectable options are saved in the Vitality catalog.

New Inspection Interval

For Norm Inspections only, when the next system-generated inspection for the tree should be scheduled for (i.e., how much time should be added to the current date or the previous inspection's completion date to determine the next inspection's Planned Date). Selectable options are saved in the Inspection Interval catalog.

Road Safety 

Whether it is safe for the public to circulate near the tree. Selectable options are saved in the Road Safety catalog.

This field is mandatory. The selected value will appear in the Road Safety field in the tree's core properties.

Acceptable medical condition

Whether the tree's health is in an acceptable condition (yes or no).

Worth to maintain

Whether the tree should be maintained (yes or no).

Felling recommended

A check box that, if selected, indicates felling is recommended for the tree.

Maintenance orders covered

A data field that indicates whether the employee who completed the inspection created any orders based on the inspection. VertiGIS FM programmatically checks this box if the user clicks the Add (icon-add) icon under Maintenance Orders when completing the inspection.

If additional work is required to resolve issues discovered during the inspection, you can create an order by clicking the Add (icon-add) icon in the Maintenance Orders section.

Documents

In the Documents section, you can attach photos taken during the inspection by clicking Place files for upload here (or click) and selecting a file on your computer.
