Allocation Keys

Allocation keys are used by landlords to distribute utility costs between tenants associated with a rental agreement, building, or real estate. For example, a landlord can bill water fees to an account with that allocation key that divides the costs between the building's tenants based on how much water was consumed in each of their respective units.

You can see all allocation keys in the system by clicking Allocation Key under Actions on the VertiGIS FM Rental Management start page.

If you do not see the Actions section, its template may be missing from the dashboard. You will need to add the Actions template to your customized dashboard or revert to the legacy start page. Refer to Dashboard Customization for more information.

Double-click an allocation key in the table to see its full details and the accounts, buildings, and rental agreements it is assigned to.

Field

Description

Key

The allocation key's numerical key.

Name

The name of the allocation key.

Unit

The unit of measurement associated with the allocation key.

Default

 

Type of accounting

How the allocation key distributes costs.

Ancillary rental costs

Costs are distributed based on criteria specified in the Relocation Procedure menu.

Consumption

Costs are distributed based on energy consumption. This can only be selected for consumption-based operating costs (for example, an allocation key to distribute the costs of water consumption when each tenant has a water meter in their unit).

Accounting unit

This field is only present when Consumption is selected in the Type of Accounting menu.

Relocation procedure

How costs are allocated to items associated with the allocation key. Selectable options are defined below.

Area

Costs are allocated based on the proportion of each tenant's living space. The landlord must have the measurements of each tenant's living space to use this relocation procedure.

Space rented

Each tenant's share of a building or real estate based on their living space is multiplied by the number of days rented, according to the rental agreement.

Co-ownership shares

Each tenant's share is determined by their number of co-ownership shares in a condominium. This option is typically used by condominium associations in Germany.

User

Costs are distributed evenly among the number of units in the building or real estate.

Days of use

Costs are distributed based on the number of days the unit was occupied. A tenant who lives in an apartment for a year will be billed for 365 days. Two tenants will be billed for 730 days.

Without levy

Costs for repairs are billed directly to a tenant of a unit. The rental agreement to which the costs are allocated is selected in the invoice.

Persons

Costs are distributed based on the number of people in each unit.

Utility

The utility associated with the allocation key. This field is only present when Consumption is selected in the Type of Accounting menu. Selectable options are stored in the Utility catalog.  

Reference quantity

 

Household-related services

Whether the allocation key is associated with household-related services.

Active

Whether the allocation key is currently active.

Accounts

The Accounts section lists the accounts to which the allocation key is assigned.

Buildings

The Buildings section lists the buildings to which the allocation key is assigned.

Rental Agreements

The Rental Agreements section lists the rental agreements to which they allocation key is assigned.
