Create Checklists

Administrators can create most types of checklists globally on the checklist administration page. Checklists for assets managed in VertiGIS FM Maintenance can be created locally, on the device or component's version details page.

For the Rental Management module in VertiGIS FM Contracts, you can create order checklists (or inspection checklists) and asset checklists.

Order checklists (i.e., inspection checklists) are included in rental agreement inspections created as beginning- or end-of-tenancy inspections. An employee who performs the inspection completes this checklist when they open the inspection.

Asset checklists are applied directly to rental agreements. This type of checklist is not associated with an inspection. Users can complete this type of inspection on a rental agreement's details page once for each rental agreement to which it is applied.

Create a Rental Agreement Inspection Checklist

You can create rental agreement inspection checklists in the Order Checklists section on the checklist administration checklist administration page.

To Create an Inspection Checklist for a Rental Agreement

1.Navigate to the checklist administration page (Administration > Master Data > Checklists).

2.Double click Rental Management.

3.In the Order Checklists section, click the Add (icon-add) icon.

4.In the Kind of Inspection menu, select Initial Condition Report ("Restitution") or Exit Condition Report ("Delivery"). The checklist can be included in inspections that have the selected option selected in the inspection's Type menu.

5.In the Name field, enter a Name for the checklist.

6.Optionally, select a category for the checklist from the Category menu, and enter an identifier for it in the Number field. Refer to Checklist Details for descriptions of all form fields.

7.In the Building Types section, select the building types you want to assign to the checklist. The checklist will be included in inspections created for rental agreements for units in buildings that have one of the assigned building types selected in the building's Building Type field.

Selectable options are saved in the Building Types catalog.

Refer to the Basic Data section on the Building Details Page.

8.Click Save and Close.

You can now Create Rental Agreement Inspections that include the checklist by selecting the checklist's Kind of Inspection property in the inspection's Type field, and ensuring the inspection is created for a rental agreement whose associated rental unit is in a building that has the one of the checklist's selected Building Types selected as its Building Type property.

Create an Asset Checklist for a Rental Agreement

You can create new checklists to apply to rental agreements in the Checklists section on the checklist administration page.

To Create an Asset Checklist for a Rental Agreement

1.Navigate to the checklist administration page (Administration > Master Data > Checklists).

2.Double-click Rental Management.

3.In the Checklists section, click the Add (icon-add) icon.

4.At minimum, enter a Name for the new checklist. Optionally, enter a Number and select its Category. Refer to Checklist Details for descriptions of all form fields.

5.Click Save and Close.

After you save the new checklist, add items to it.

You can now apply the checklist to a rental agreement.

The Checklist of Orders section on the global checklist administration page for contract management does not support any functionality in the system. Order checklists are not used in VertiGIS FM Contracts.
